Privacy notice

This notice is for this installation of Vula Bids. It is written for the Protection of Personal Information Act (POPIA). Vula Bids is not a registered organ of state and it is not part of National Treasury.

Who is responsible

The person or business running this copy of Vula Bids is the responsible party for the account data it stores. Contact: louis_talja@hotmail.com.

What we collect

  • Your name, email address, and a hashed password
  • Business name, a short description, industries, and provinces
  • CIDB grade and class, if you add them
  • Compliance document types, expiry dates, and files you upload
  • Alert preferences, including a WhatsApp number if you choose to save one
  • Which tender packs you generate

Why

We use it to match open tenders, warn you before a document expires, and draft a pack. We do not sell personal information. Tender notices themselves are public data from the National Treasury eTenders OCDS API.

Where it lives

This installation keeps data in a SQLite file on the machine running the app, plus uploaded files in a folder on that machine. Passwords are hashed. If an optional Gemini API key is set on the server, a pack summary may be sent to Google with the tender facts and your business description. Without that key, nothing is sent. If email alerts are switched on, your address and the matching tender titles are sent through the operator's mail provider.

Alerts

When email alerts are on and the server has mail configured, a daily or weekly note is sent for new matching tenders. A password reset sends one email with a link that expires in 60 minutes. A WhatsApp number, if you save one, is stored only. No WhatsApp message is sent.

Your rights

You can correct your profile at any time. Delete the account on the profile page, or ask louis_talja@hotmail.com. Deletion removes the user, profile, uploaded files, packs, alert history, and payment references from this installation. PayFast may still keep the transaction under its own notice. You can also ask the operator for a copy of what this installation holds about you.

Payments

Card details are entered on PayFast, not on this site. We store the plan, the amount, PayFast's payment reference, and a subscription token when PayFast sends one. We do not store card numbers.
